CircleBlack provides the following “roles” for your professional user IDs. Each role corresponds with the above levels of access. This section defines the general functionality and capabilities of each role. Understanding your firm’s organizational structure as well as how your advisors serve their clients is essential for selecting the appropriate roles. As we explained above, your firm may want to select more than one firm manager to manage the firm’s general use of CircleBlack.
- Firm Manager
- Provides total view of firm, branches, and advisor data:
- View all Branches
- View all Advisors
- View all Households filtered by Advisor
- Generate and view all performance reports
- Firm Manager can manage own business in same login
- Provides functionality for firm onboarding:
- Create Branches
- Create Branch Managers
- Create Advisors
- Activate Advisors
- Assign Advisors to Branches
- Map Account Codes to Primary Advisors
- View all Clients and Accounts coming through custodian feeds
- Firm managers can serve as Advisors in same login:
- Firm Manager can household only their own clients
- Firm Manage can activate only their own households
- There may be multiple firm managers
- Can only be set up by CircleBlack Client Services
- Compliance functionality can be enabled for any firm manager user
- Provides total view of firm, branches, and advisor data:
- Compliance Officer
- Provides view-only of firm, branches, and advisors data:
- View all Branches
- View all Advisors
- View all Households filtered by Advisor
- View-only Advisor generated reports
- Controls Document and Content approval rules for Advisors looking to share reports, documents, and articles with their end-client.
- There may be multiple compliance officers
- Can only be set up by CircleBlack Client Services
- Provides view-only of firm, branches, and advisors data:
- Branch Manager
- Provides total view of branch’s book of business and all branch’s advisors’ books of business
- View all Households managed by branch filtered by Advisor
- Generate and view all performance reports
- Branch Manager can manage own business in same login
- Branch Manager can also serve as manager of group or team of advisors
- Advisor
- Provides total view of advisor’s book of business
- Functionality to household clients in Onboarding
- Generate and view all performance reports
- Primary role for point of integration partners
- Assistant
- Provides total view of assigned advisor(s)’ book of business
- Does not manage their own book of business
- Has exact same functionality as assigned advisors:
- Householding clients, generate and view performance reports, access integration partners
- Separate login from assigned Advisor so Assistant and Advisor can view same book of business at the same time.
